They do boost productivity, but they also introduce new risks around data exposure, unmanaged access, and employees using tools outside approved channels.

What many security and IT teams are running into is this: governance built for traditional software isn’t keeping up with cloud assistants, coding tools, content platforms, browser extensions, and bundled services that teams can pick up in a matter of weeks, often with no security review and no clear owner across security, legal, and the business.

If you handle security or risk, read this now. Weak visibility turns shadow IT into a much bigger problem, and gaps in data classification, logging, vendor due diligence, and rules around what employees can upload, summarize, or generate can put proprietary, customer, and internal data at risk. Slow approvals push people toward workarounds. Regulated sectors also still have to deal with privacy, retention, auditability, and industry-specific compliance requirements.

The answer isn’t to block everything. Put practical governance in place instead, with clear usage policies, firm rules on what data can be shared, and a formal review process for high-risk platforms.

You can roll that out across the tools your teams already use by tightening single sign-on (SSO), limiting unsanctioned accounts, using data loss prevention (DLP), and pressing vendors for clear answers about where data is processed, how long it’s kept, whether it’s reused, and what logging, deletion, and admin-access controls are in place. If you don’t, these productivity tools can turn into a serious workplace security problem very quickly.

Enterprise security and IT teams are now dealing with workplace automation tools that are changing fast.
