{"id":73202,"date":"2014-09-20T14:08:42","date_gmt":"2014-09-20T12:08:42","guid":{"rendered":"http:\/\/onsoftware.en.softonic.com\/?p=73202"},"modified":"2025-07-02T00:27:49","modified_gmt":"2025-07-02T07:27:49","slug":"office-tip-type-faster-by-replacing-one-word-with-another","status":"publish","type":"post","link":"https:\/\/cms-articles.softonic.io\/en\/office-tip-type-faster-by-replacing-one-word-with-another\/","title":{"rendered":"Office Tip: type faster by replacing one word with another"},"content":{"rendered":"<p>Did you know that you can actually type faster in Microsoft with the <em>Find and Replace <\/em>function?<\/p>\n<p>As part of our Office Tips series, I&#8217;ll show you a little trick that&#8217;ll help you type faster by <strong>replacing a few letters with a complete word <\/strong>using the <em>Find and Replace<\/em> function.<\/p>\n<h3>1. Specify abbreviations<\/h3>\n<p>Before typing up your document, you need to specify which abbreviations you want to use and for which words. In this example, I&#8217;ll shorten the term <em>Softonic International<\/em> to S<em>int<\/em> and then replace it, once the text is written.<\/p>\n<p>My advice: choose a set of letters that is unlikely to appear in other words. For example, you can type <em>xxx<\/em> for the phrase <em>return on investment <\/em>or any other expression that comes up frequently in the document. <em>xxx<\/em> is very quick to type, and that particular sequence of letters isn&#8217;t likely to appear in other words.<\/p>\n<p>Of course, you can <strong>use multiple abbreviations to represent different words <\/strong>or phrases in a single document. This is even more effective when you need to type long words or expressions.<\/p>\n<p>So, as you can see below, I chose to type in <em>Sint<\/em> for <em>Softonic International<\/em>. Find and replace<\/h3>\n<p>Once the document is written, press <em>Control + H <\/em>to bring up the <em>Find and Replace<\/em> menu.<\/p>\n<p>In the first box marked <em>Find what<\/em>, type in the expression that you want to replace\u2013 in this case <em>Sint<\/em>.<\/p>\n<p>In the second box marked <em>Replace with<\/em>, enter the word or words you want to replace it with\u2013 in this case <em>Softonic International<\/em>.<\/p>\n<p>Then hit\u00a0<em>Replace all<\/em> to change all occurrences of the word in that document.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-large wp-image-97513\" title=\"Softonic International\" src=\"https:\/\/articles-img.sftcdn.net\/sft\/articles\/auto-mapping-folder\/sites\/3\/2018\/02\/TA.EN_.V4.news4_.jpg\" alt=\"Softonic International\" width=\"568\" height=\"233\" \/><\/p>\n<h3>3. Replacements<\/h3>\n<p>A pop up menu tells you the number of replacements made. Click <em>Yes<\/em> to scan the entire document.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-large wp-image-97514\" title=\"Replacements Yes Word\" src=\"https:\/\/articles-img.sftcdn.net\/sft\/articles\/auto-mapping-folder\/sites\/3\/2018\/02\/TA.EN_.V4.news3_.jpg\" alt=\"Replacements Yes Word\" width=\"568\" height=\"384\" \/><\/p>\n<p>In this case, there were only two, and they&#8217;ve been properly placed.<\/p>\n<p>Not only does this save time, it can also prevent spelling errors for words or names that you commonly misspell.
