Note-Taking Made Easy: How to Share Entire Folders in the iPhone Notes App

When And that simple. The next time we want to share multiple notes with someone, either to edit or just view them, we’ll know how to make it as easy as possible.

The Notes app offers the ability to share entire note folders. With this feature other people can access (and optionally edit) all the notes contained within a shared folder.

How to share folders in the Note app

The process is very simple and is performed almost the same way from our iPhone, iPad or Mac. Let’s keep in mind that the editing or reading permissions apply to all the notes inside the folder and also that none of them can be protected with Face ID. Moreover, in both cases we can share the folder with more than one person.

From our iPhone or iPad

  1. Open the Notes app.
  2. Open a notes folder.
  3. Tap the icon in the shape of three dots inside a circle.
  4. Choose Share folder.
  5. Tap on Sharing options and choose whether we want the people we share with to be able to make changes (which is the default option) or access in Read-only mode. Then press Back.
  6. We choose the app with which we want to send the invitation, if we are close, probably via AirDrop.

From our Mac

  1. Open the Notes app.
  2. We make sure that we are seeing the list of folders in the sidebar by tapping Show folders in the Display menu. If this option does not appear it is because we are already seeing them.
  3. When we move the mouse over a folder, an icon appears to the right of its name in the form of three dots inside a circle on which we click.
  4. Choose Share folder.
  5. We choose the app with which we want to send the invitation.
  6. In the section Permission: choose between Only those you invite can make changes, which is the default option, and Only those you invite can see it.
  7. Click on Share.

And it’s as simple as that. The next time we want to share several notes with someone, either to edit them or just to view them, we will know how to do it in the easiest possible way.
