Zoom is getting closer to allowing AI avatars to attend meetings for you. As part of a broader AI expansion, Zoom has announced that it will soon allow you to create an AI avatar of yourself that you can use to send messages to your colleagues.

Fear of the possibilities this entails

Zoom is considering the possibility of deepfakes. Smita Hashim, Chief Product Officer of Zoom, stated in a press conference that the company “is handling it very carefully, with advanced authentication, watermarking technology, and strict usage policies.”

Personalized AI avatars will be launched early next year as part of Zoom’s custom AI Companion add-on, which will cost an additional $12 per month. If you don’t have the add-on but do have a paid Zoom subscription, Zoom will still allow you to create clips using pre-set AI avatars and voices… which is just as eerie as creating AI avatars of yourself.

During an interview on Decoder in June, Zoom CEO Eric Yuan mentioned his goal of allowing you to send a “digital twin” to meetings and calls while you are doing something else.

“Today, for this session, ideally I wouldn’t have to join. I could send a digital version of myself to join, so I can go to the beach,” said Yuan as an example.

Along with AI avatars, the new custom Zoom add-on will allow its AI to integrate with more third-party productivity apps, such as Zendesk and Asana, in addition to introducing new customization options that you can use to create custom meeting summary templates.

On Monday, just a few weeks after Zoom announced Zoom Workplace, the AI-powered collaboration platform became available to all users. The redesign updates almost every aspect of the application.

To begin with, the application has a different look. Users can choose from four color themes, in addition to the basic gray background that is currently behind the video screens. The call host can add different meeting backgrounds that contribute to a more immersive experience.

How Generative AI is Changing the Zoom Video Call Application

Zoom Workplace includes a new view with multiple speakers that places the participants speaking on a “stage”. The other participants are positioned below in a traditional gallery view, as seen below. This approach aims to encourage better discussion among participants.

Similar to how users currently use the “Screen Share” function to view the same screen together, users will have a document collaboration option to import third-party documents and co-edit text during meetings. Users will also be able to customize the toolbar at the bottom of the screen to keep only their preferred functions.

Zoom has also added new features to help users better interact with other participants in the call. The new portrait lighting feature uses AI to illuminate the user’s face in low light conditions while darkening the background to achieve a portrait effect.

On the other hand, the custom audio isolation feature suppresses background noise and helps users’ voices sound clear in noisy meetings in a noisy environment, such as a busy office or café. Finally, dynamic reactions allow users to display enhanced emoji expressions that are larger and more prominent than in the past.

Zoom has also implemented new collaboration features, such as the new Meetings tab, where users can find all the information they need for their meeting, including resources like PDF files, videos, and much more, as seen in the following screenshot.

The continuous meeting chat automatically shares a meeting summary in the team chat after the meeting, including assets, summaries, and much more. The Team Chat tab, located next to the Meetings tab, helps users access all chat-related resources such as assets, live links, whiteboards, etc., according to the press release.

The team chat will also include new generative AI capabilities within Zoom AI Companion, such as a thread summary to quickly catch up on messages, completing sentences to write new messages, and quick scheduling to prompt the user to schedule a meeting when it comes up in the chat.

How to access Zoom Workplace

To access Zoom Workplace, the company says that account owners and users can update their Zoom application to version 6.0.0 or download the update from the company’s website.

Zoom says that Zoom AI Companion is included at no additional cost “for customers with paid services assigned to their Zoom user accounts”, which presumably means that if you are using Zoom for free, you can forget about the AI.

Use the space to bar mute/unmute your microphone

This one does exactly what it says on the tin. Rather than fiddling around looking for that tiny little cursor next to your microphone icon, simply hit the space bar to mute yourself. Then, when you’re ready to talk again, hit space again and your good to go.

Always mute your microphone when entering a call

When you’re in a group video meeting with lots of different people, muting is actually a very powerful tool. Background noise coming from one feed can easily distort and dominate what somebody is actually saying on another feed. This phenomenon is even worse when somebody is already talking, and another account joins the meeting. You definitely don’t want to be that person but fortunately, Zoom has a setting that will always mute your mic when you go into new meetings.

To activate the always muted microphone you need to open Zoom and then access the Settings menu. From there you want to go to the Audio Settings tab. Here is where you’ll find the checkbox that says Mute microphone when joining a meeting. Tick this box and you’ll be saved those embarrassing blushes every time you join a new meeting.

Do the same with video

OK, we get it, first and foremost, Zoom is a video calling platform but sometimes video can really slow the app down and make effective communication harder. Like we’ve just described above, this is particularly grating when it happens every time somebody new enters the conversation. You can make sure that isn’t you by this time going to the Video Settings tab instead of the Audio Settings tab and ticking the box that says Turn off my video when joining a meeting.

Don’t forget the digital whiteboard

There’s a big button that says Share Screen, which makes the screen share a pretty obvious feature on Zoom. What’s not so obvious, however, is that Zoom actually has a few different screen sharing functions including a digital whiteboard that is particularly useful for meetings. It’s also good though, for upgrading that family quiz night to family games night that includes games like Pictionary and hangman. If you throw in the obvious charades too, you’re well on the way to having a full-on party.

Add a beauty filter

This one isn’t strictly a beauty filter, but it is supposed to smooth out any issues you may be having with your skin. The feature is called Touch up my appearance and it softens out the focus from your webcam’s camera. To give this one a go you need to go to Settings, then Video, and tick the box next to Touch up my appearance. The key here though is not to get too upset if you go there and find that it has been ticked the whole time.

What problems could I have if I use an unsecure video chat app?

As we mentioned, most video chat apps have security holes that can cause a headache or two. Here are some of the typical problems that can be caused by these vulnerabilities:

They can undermine your privacy and that of your data– Some video chat apps don’t encrypt the data you share, which means hackers can hear whatever you say or access any files you share. They can even distort the message you are transmitting.
They can change the access to your video chat– Security holes often prevent you from controlling who can access your conversation or meeting. That’s why there have been so many cases of online trolls “bombing” video conferences and even taking over calls that are underway.
They can create fake problems with your computer– Another security hole makes it seem like you’re having problems with your PC’s microphone or camera, and as a result, you inadvertently hand over control of them to third parties.
They can take control of your PC– In the worst-case scenario, hackers can use vulnerabilities in video chat apps to gain full access to your computer. Fortunately, these problems are less common, and the vast majority of video chat apps are immune to them.

How can I protect myself during a video chat?

Before you have a video chat, it’s important to take a few simple steps to ensure your cybersecurity. That way, you’ll protect your privacy and data and enjoy your video chats with total peace of mind.

Make sure your video chat app is up-to-date– As we stated above, video chat apps have vulnerabilities that are repaired every time these apps are updated. Regardless of whether you use a mobile or a desktop app, make sure it is always the latest version.
Always protect your meetings with a password– If you are hosting an online work meeting or conference, never forget to add a password and activate a waiting room. That way, you can make sure that the only participants in your meeting are invited guests.
Switch off your guests’ microphones and cameras– In addition to the above, if you’re going to give a chat, don’t forget to mute the microphones and switch off the cameras of your guests.
Beware of uninvited guests– If you are hosting a work meeting, do a headcount to make sure that you have no unwanted visitors. This is frequent at large conferences: it seems like someone who’s not supposed to be there always manages to sneak in.
Be mindful of who you’re chatting with– Never share sensitive information with someone you don’t know or trust 100%.
Don’t video chat with strangers– Never accept a video chat invitation from someone you don’t know, and avoid using features available on some apps such as random video chat.
Don’t click on any links you receive– As a general rule, you should never click on any links you are sent during a chat. They could redirect you to a malicious website that uses the security holes in your video chat app to gain access to your computer.
Activate two-step verification– If the app you’re using has two-step verification, activate it. This makes it harder for hackers to gain access to your accounts.
Never make video calls on open Wi-Fi networks– Avoid using public or open Wi-Fi networks, because you run the risk of hackers intercepting your conversations.

Epic fails in Zoom and other Videoconferencing Apps

Videoconferencing has been our bread and butter over the past few months. We’ve used it to call our parents, tell our partner we love them, take online classes, and discuss the new business plan at work… but wait! Why is our boss suddenly a potato? And who’s that stranger who snuck into the conference with the camera on while he was in the bathroom? These and many other bizarre, embarrassing, and hilarious situations have occurred during lockdown when videoconferencing was our window to the outside world.

In today’s article we’re going to have some fun reminiscing about some of the most epic fails of the star app of the season, Zoom, as well as other videoconferencing applications. Ready for a few laughs? Take a seat and buckle up!

1.- Honey, Zoom turned my boss into a potato

Imagine you’re in the middle of a business meeting and your boss turns into…a potato! And the worst thing is that she doesn’t know how to turn off the filter and you have to endure the entire meeting with a tater giving you orders without being able to laugh. Well, that’s what happened to Rachele Clegg (@PettyClegg). A meeting that will be hard to forget.

2.- Pants? Who needs pants?

This poor woman’s work videoconference seemed to be going smoothly until her partner decided to walk around in his underwear behind her. 3.- The councilman and his noisy visit to the men’s room

At an extraordinary plenary session to discuss safety measures for coronavirus, a councilman decided to leave his computer to go to the bathroom. So far, so good. Unfortunately, the mayor forgot to turn off his mic, so the whole plenary heard the long trickle as he relieved himself. Obviously, the rest of the plenary session attendees had a hard time keeping a straight face.

4.- Working from home with kids, always a joy

Due to the COVID-19 crisis and lockdown, much of the planet has had to switch to working from home. Singles or couples without children haven’t had much trouble working peacefully, but what happens to parents now that children can’t go to school? Poor Jenna Weiss-Berman was surprised in the middle of a videoconference by her son yelling “Look at my penis!” and making farting noises. A fantastic way to look in front of your boss.

5.- Videoconferences are for pets too

The Reddit user TcpAckFrequency comments in a post how in his Zoom classes, the teacher asks students not to use their cameras. That’s why one day this young man decided to take a nap leaving the videoconference on thinking he’d get out of class. What TcpAckFrequency didn’t take into account is that he forgot to turn off his computer’s microphone and that his pet, a talkative parrot, was in the same room. While the young man was catching up on his sleep, the parrot kept up a constant stream of conversation during the videoconference. The teacher didn’t know how to kick him out of class so they spent the morning trying to negotiate with the parrot. As TcpAckFrequency explains, a classmate told him the parrot spent the entire class saying “Hello,” “What are you doing?,” and then obsessively repeating “OK” to anything anyone said.

Daniel Taroy tells on his Twitter account how in the middle of a 68-person Zoom meeting he started talking to his cat, unaware he had left his microphone on. He only suspected something was up when people started laughing and mentioning the cat. Kill me now!

8.- Never suggest class is boring with your mic on

Here’s another Zoom blooper where the culprit is once again an open mic. On this occasion Twitter user xoxo glosslip girl explains that, tired with her Zoom class going over, she said to herself “Why is she still talking? I thought this was over.” To her surprise her mic was on and the teacher didn’t miss a beat, sarcastically responding, “Friend, you might want to mute yourself.” She probably won’t get great grades this quarter, although we hope we’re wrong.

There’s only one thing more embarrassing than crashing a Zoom class by mistake: if it isn’t even from your country! That’s what happened to Randol, a young man who doesn’t know how he got into a meeting that wasn’t his. 10.- If you’re a snorer, don’t leave your mic on

Another to add to the long list of Zoom epic fails from leaving the mic on in the middle of a meeting, or in this case, of a chemistry masterclass. A student fell asleep in the middle of his teacher’s videoconference and the whole class could hear him snoring. So now you know, if you go to sleep during a class over Zoom, you need to turn off the camera and also mute the mic.

11.- Never take your laptop into the bathroom with you with the camera on

In the middle of a Zoom meeting, a girl got the urge to go and took her laptop right into the bathroom with her. That way she won’t miss anything and no one will ever be the wiser – or will they? The fact is that the young woman not only left the mic on but also forgot to turn off the laptop’s camera while she was answering the call of nature. And worst of all, not only do her Zoom buddies know about it, but so does the rest of the world thanks to the magic of the internet and social media.

12.- Smoking in the middle of class is never a good idea

Miles Berger thought his class that day was so boring that he could only get through it if he was high as a kite. The young man went right ahead and decided to start smoking marijuana in front of his teacher as if there was nothing unusual about it. Fortunately, the teacher took it with good humor.

13.- Never roll a joint with the camera on

We continue with the fails of students who just can’t get through class on Zoom without the help of some kind of mind-altering drug. In this case, the young Jay Huyck decides to go ahead and roll a joint to truly comprehend the concepts taught in class. Too bad he completely forgot to turn off his camera. 14.- Have you ever had that nightmare where you’re in class in nothing but your underwear?

We’ve all had that terrible dream that we’re naked or can’t find our shoes or some other essential article of clothing in class. This is exactly what happened to the kid in the next video. He unknowingly had the camera on in the middle of a Zoom call and was completely naked and showing off his attributes not only to the teacher but to the rest of his classmates.

The class clown starts to perform his own rap ballad in the middle of a Zoom videoconference, thinking that no one will be able to hear him. Yeah, you guessed it.
